A practical checklist for collecting the right information, keeping decisions clear and reducing last-minute changes in a group order.
Choose one lead organiser
One contact should hold the master list and approve the final order. People can contribute ideas, but one version of the truth prevents conflicting changes.

Collect names and sizes together
Use a single shared form or spreadsheet and set a clear deadline. Avoid combining multiple message threads by hand at the end.
For each person
Record the printed name, garment size and quantity. Make it explicit whether full names, first names or preferred names are being used.
For the whole group
Record the garment style, colour, print colour, school wording, graduation year, heading and chosen layout.
Create one approval point
Share the nearly finished design with a deadline for factual corrections, then ask the lead organiser to approve the final version.
